Information for Participants
The 42nd International Motor Symposium 2021 is planned as a face-to-face event and as a virtual event.
If the face-to-face event is canceled, all participants will be rebooked for the virtual event.
Evening Receptions
Reception and Opening of the Exhibition: Wednesday, 18.00 – approx. 21.00 hrs., registration counter will be open.
It has become a tradition that the Mayor of Vienna hosts a reception and dinner on the first evening of the symposium. You will receive a printed invitation to the reception when you check in at the registration desk in the Hofburg.
Participation is free of charge, but registration as part of the online registration is essential.
Confirmation of Registration
After you have registered online you will receive an automatically generated confirmation of our having received your data by e-mail. Should you not receive such confirmation please note this means your registration was unsuccessful since we did not receive your data. Please also note that your e-mail application does NOT constitute a confirmation of your registration and hence does not automatically entitle you to participate in the symposium. After receipt of your e-mail we will send you a confirmation of your registration in the following days or will provide other information concerning your admission status.
We do hope you will understand that on account of the large number of applications for participation it may take longer, especially at the beginning of the registration period, for us to process your application.
Registration Date
The registration period for the 42nd Vienna International Motor Symposium 2021 begins on Monday, 11 January 2021 and ends as soon as the symposium has been fully booked.
Hence we recommend that you apply for registration at the earliest possible juncture.
Registration for the Motor Symposium
You may register exclusively online or by means of the registration form. Each participant must fill in a separate form.
Hotel Reservations
Our partner company Austropa Intervention will be happy to reserve a hotel room for you. For the participants of the Motor Symposium, contingents in hotels, which are located near the event location, have been pre-reserved.
The hotel booking must be guaranteed by credit card. Payment is made directly at the hotel on departure. The desired reservations will be immediately confirmed by our partner company Austropa Interconvention together with the admission to the symposium. The hotel will issue an invoice for the total amount upon departure.
Cancellation of Hotel Rooms
Changes and cancellations of confirmed room reservations have to be addressed to Austropa Interconvention (e-mail: motoren2021@vb-mice.at) in written form.
In the event of cancellations made between 1 March 2021 and 12 April 2021, a cancellation fee corresponding to the full rate for one night will be charged.
For cancellation after 12 April 2021, or no-show, an invoice will be made out corresponding to the entire duration of the stay you booked. Cancellation fees will be debited to your credit card.
Fees
The participation fees entitle you to participate in the technical programme, including lunch, coffee and snacks during breaks, the conference documents, access to the password protected participants section on the website of the symposium as well as to evening events.
Participation fees 2021:
Participation fee: € 2472.-- incl. 20% VAT
Participation fee: ÖVK Membership: € 2388.-- incl. 20% VAT
Participation fee for the virtual event: € 1.188,- incl. 20% VAT
Programme
Since the face-to-face event can only take place in two lecture halls due to the Covid-19 measures, and we have received numerous interesting submissions, we have decided to supplement and expand this year’s face-to-face programme with virtual lectures.
All videos (face-to-face lectures as well as virtual lectures) will be made available to the participants during and after the symposium in the participants area of the website.
Confirmation of Registration/Invoice
After having registered successfully, you will receive a confirmation of registration by e-mail, which will at the same time serve as an invoice.
If you want to book and/or reserve a place for an event on the social programme you will, in addition, receive a voucher for the programme events you booked.
We will send all of these documents exclusively by e-mail.
Cancellation
Cancellation by the participant:
Cancellations must be made in writing to Austropa Interconvention (e-mail: motoren2021@vb-mice.at). For cancellation after 12 March 2021, the whole amount of the invoice will be charged.
Cancellation due to legal requirements (LockDown, travel restrictions, etc.):
If individual participants are unable to attend, they will be rebooked to a virtual live event designed in parallel with the face-to-face event.
Cancellation by the organizer:
If the face-to-face event is canceled, all participants will be rebooked for the virtual event
One-day Tickets
Sharing tickets between two people on the conference days is not permitted. Registration of participation applies to one person only, hence alternating attendance by several individuals is not accepted.
Venue
The Vienna International Motor Symposium will be held at the Hofburg Conference Centre, Vienna, Heldenplatz, 1010 Vienna.
Participants Login/Area/Motor Symposium App
All registered participants, lecturers, students and media representatives at the Vienna International Motor Symposium will be granted access to the “Participants Area“ with the digital symposium documents, the video presentations as well as the virtual exhibition by pressing the button “participants login“ at the top of this website, and also have free access to the Motor Symposium app.
You will find the symposium app at the App Store and at Google Play Store.
During and for a limited period after the symposium, the symposium documents (a list of participants, a list of exhibitors, a map of exhibition stalls on all levels, CVs of the lecturers and of the chairmen of the sessions, all lectures in pdf format) and the video presentations as well as the virtual exhibition will be available in the participants area and in the app.
In addition, logged-in participants have the option of downloading all lectures from previous symposia which can be accessed via lecture search.
The Austrian Society of Automotive Engineers (OEVK) will provide information on your access data to the participants login by e-mail a few days before the beginning of the Motor Symposium.
Conference Documents
Lecture texts as USB sticks and, if desired, as lecture volumes in printed form for an additional charge.
Replacing a Participant
In the event that a registered participant is unable to attend the symposium for whatever reason, a person replacing him or her may be nominated free of charge.
