Information for Participants
The 43rd International Vienna Motor Symposium is planned as a 3-day face-to-face event from 27-29 April 2022. If the face-to-face event is cancelled due to Covid, a virtual event will be held to which all participants will be rebooked.
Evening Receptions
Reception and Opening of the Exhibition: Wednesday, 18.00 – approx. 21.00 hrs., registration counter will be open.
It has become a tradition that the Mayor of Vienna hosts a reception and dinner on the first evening of the symposium. You will receive a printed invitation to the reception when you check in at the registration desk in the Hofburg.
Participation is free of charge, but registration as part of the online registration is essential.
Confirmation of Registration
After you have registered online you will receive an automatically generated confirmation of our having received your data by e-mail. Should you not receive such confirmation please note this means your registration was unsuccessful since we did not receive your data. Please also note that your e-mail application does NOT constitute a confirmation of your registration and hence does not automatically entitle you to participate in the symposium. After receipt of your e-mail we will send you a confirmation of your registration in the following days or will provide other information concerning your admission status. We do hope you will understand that on account of the large number of applications for participation it may take longer, especially at the beginning of the registration period, for us to process your application.
Registration Date
The registration period for the 43rd Vienna International Motor Symposium 2022 begins on Monday, 10 January 2022 and ends as soon as the symposium has been fully booked. Hence we recommend that you apply for registration at the earliest possible juncture.
Registration for the Motor Symposium
You may register exclusively online or by means of the registration form. Each participant must fill in a separate form.
Hotel Reservations
Our partner company Austropa Intervention will be happy to reserve a hotel room for you. For the participants of the Motor Symposium, contingents in hotels, which are located near the event location, have been pre-reserved. The hotel booking must be guaranteed by credit card. Payment is made directly at the hotel on departure. The desired reservations will be immediately confirmed by our partner company Austropa Interconvention together with the admission to the symposium.
The hotel will issue an invoice for the total amount upon departure.
Cancellation of Hotel Rooms
Changes and cancellations of confirmed room reservations have to be addressed to Austropa Interconvention (e-mail: motoren@vb-mice.at) in written form.
In the event of cancellations made between 1 March 2022 and 12 April 2022, a cancellation fee corresponding to the full rate for one night will be charged. For cancellation after 12 April 2022, or no-show, an invoice will be made out corresponding to the entire duration of the stay you booked.
Cancellation fees will be debited to your credit card.
Fees
Participation fees 2022:
Participation fee : € 2.472,- incl. 20% VAT (€ 2.060.- excl. VAT)
Participation fee for ÖVK-Members: € 2.388,- incl. 20% VAT (€ 1.990.- excl. VAT)
Reduced Participation fee:
If the face-to-face event is cancelled due to Covid, a virtual event will be held to which all participants will be rebooked. In this case, the participation fee is reduced ("reduced participation fee"). The amount of this reduced participation fee will be announced in good time if necessary.
Programme
Due to the limited number of lecture slots for the face-to-face event in the Vienna Hofburg and the large number of interesting and high-quality submissions, a virtual session will be held in addition to the two sessions of the face-to-face event. The videos in the unmoderated virtual session will not only be available online on the Motor Symposium´s web platform but will for the first time also be part of the programme on site in the Vienna Hofburg.
Confirmation of Registration/Invoice
After having registered successfully, you will receive a confirmation of registration and an invoice by e-mail.
We will send all of these documents exclusively by e-mail.
Cancellation
Cancellations must be made in writing to Austropa Interconvention (e-mail: motoren@vb-mice.at). For cancellation after 11 March 2022, the whole amount of the invoice will be charged.
If the face-to-face event is cancelled due to Covid, a virtual event will be held to which all participants will be rebooked.
Day Tickets / Ticket sharing
There are no day tickets available. It is not possible to share the registration between several people.
Venue
The Vienna International Motor Symposium will be held at the Hofburg Conference Centre, Vienna, Heldenplatz, 1010 Vienna.
Conference Documents
Lecture texts as USB flash drive and, if desired, as lecture volumes in printed form for an additional charge.
Web Platform
All registered participants, lecturers, students, and media representatives at the Vienna International Motor Symposium will be granted access to Motor Symposium web platform.
From the symposium onwards, the digital congress documents as well as the recordings of the face-to-face sessions and the video presentations of the virtual session will be available there for a limited period.
You will receive information about your login credentials via email a few days before the event.
Replacing a Participant
In the event that a registered participant is unable to attend the symposium for whatever reason, a person replacing him or her may be nominated free of charge.
Organizers
The Vienna International Motor Symposium is organized by the Austrian Society of Automotive Engineers jointly with the Institute for Powertrains and Automotive Technology of the Vienna University of Technology.
Waiting List
Once the maximum number of participants has been reached we regrettably cannot accept any further registrations. You will be informed by e-mail, however, that your name has been put on a waiting list.
Terms of Payment
The full amount of the invoice has to be paid within 21 days of its receipt, but no later than the beginning of the event. If we do not receive payment of the amount due in good time, despite our reminder, we reserve the right to cancel your participation. Any bank charges that might arise will be charged to your credit card.
